Business Challenge

Vertex Capital's analysts spent the first two weeks of every quarter manually assembling client reports — pulling data from four internal systems into spreadsheets, then formatting each one by hand for 180+ client accounts.

Objectives

  • Eliminate manual data assembly without losing the customization each client's report required
  • Guarantee zero calculation errors — reporting mistakes in finance carry real consequences
  • Keep a human review step before anything reaches a client

Approach

Given the stakes of getting a client's financial report wrong, we scoped this as a human-in-the-loop system from day one: full automation of assembly and formatting, with a mandatory analyst sign-off before any report sends.

Deliverables

An automated data-aggregation pipeline, templated report generation with per-client customization rules, an analyst review queue, and automated delivery via Resend once approved.

Solution

Planning

We mapped every client's report customizations first — some wanted specific benchmarks, others additional risk disclosures — before writing a line of the templating engine, since retrofitting customization later would have meant a rebuild.

Design

Reports use a rules-based template system rather than a single generic layout, so each client's specific format requirements are met without one-off manual editing.

Development

Built a Python pipeline pulling from Vertex's four data sources into PostgreSQL, with a templated PDF generation layer and a review dashboard for analysts.

Testing

Ran two full quarters in parallel — the old manual process and the new automated one side by side — comparing every generated report line-by-line against the manually produced version before cutting over.

Deployment

Went live at the start of a new quarter with the full analyst team trained on the review dashboard a week ahead of the first automated cycle.

Optimization

After the first live quarter, we streamlined the review queue based on analyst feedback — flagging only reports with unusual variances for detailed review rather than requiring line-by-line sign-off on every report.

Zero calculation errors across three full quarters since launch — the parallel-testing phase, while it added two weeks to the timeline, was worth the certainty given what's at stake in financial reporting.
